Your job

The role is responsible for supporting the London Leadership team with their agendas, travel, meeting arrangements and dealing with high level confidential information.  In addition, the role is responsible for:

  • Acting as gatekeeper, comprehensive and proactive diary and inbox management to the Managing Director and as capacity allows for the London Senior Executives
  • Liaising with external clients and administrative teams for all meeting logistics
  • Managing internal/external social events
  • Office management and general administration support
  • Back-up in management and processing of supplier invoices
  • Managing UK and European travel and expenses
  • Proactively setting up prep-meetings ahead of the client meetings
  • Editing presentations using PowerPoint and Microsoft suite applications
  • Understanding and utilising virtual conferencing tool to create video and audio conference requests
  • Liaising with reception and service office team
  • Managing and completing printing requests following in-house compliance approval process

The role will work closely with the Business Management team and Managing Director UK so you must feel comfortable in providing regular updates on tasks achieved and tasks pending action.

Your experience

  • At least 3 years’ experience and success in a similar role.
  • A strong sense of responsibility and high standards of personal integrity
  • Minute taking
  • Real ability to work on own initiative
  • Excellent administration skills and attention to detail
  • Proficient in MS Office (Word, Outlook, Excel, 365 and PowerPoint)
  • Excellent organisational, multi-tasking and prioritisation abilities
  • Ability to work under deadlines and to accommodate last minute changes
